About Broker Tools

About BrokerTools explores the People, Process and Technology behind the way broker businesses operate — from lead capture through to CRMs, automations, settlement and ongoing client relationships. We look at how people work, how information moves, what systems are involved and where the handovers happen. Then we ask the practical questions: Could this work better? Can it be connected? Could it be automated? Does a person actually need to do it?

About Broker Tools

We help Brokers optimise the way they work.

BrokerTools helps brokers understand the people, processes and technology involved in the way they work — and identify opportunities to automate, simplify or improve those workflows.

We start with practical questions:

People

Who is actually doing the work?

We look at everyone involved in the way a broker business operates:

  • Broker
  • Assistant
  • Processor
  • BDM
  • Outsourced support
  • Service provider
  • Technology, including AI agents
  • Aggregator

Who is responsible for each part of the work?

And then: who needs to do what, and when?

Because technology only works when people are using it.

Process

What actually happens when work enters your business?

For example, if a lead came through your business today:

A. What data do you collect?

What information do you need at the beginning?

B. Where is that data stored?

CRM? Spreadsheet? Email? Application platform? Someone's head?

C. How do you follow up?

Who follows up? When? How do they know it's due?

D. Where does the client go next?

What system, person or service receives the information?

E. What happens if they get stuck?

How do you know?

Is there an alert? A task? A report? Or does someone simply notice?

F. What is repetitive?

Is there a process where someone is effectively doing copy → paste → copy → paste?

Can it be automated?

And if it can't — why not?

Sometimes the answer is that the human needs to remain in the loop. That's important too.

Automation and AI isn't about removing people from every process. It's about making sure people are spending their time where they're actually needed.

Technology

Then we look at the technology supporting the workflow.

  • What system does what?
  • What talks to what?
  • Where is information duplicated?
  • Where does information stop moving?
  • Where does someone manually transfer information from one system to another?

And critically:

What is the handover between people, process and technology?

That's often where workflow problems become visible.

Visibility

A workflow isn't finished just because the task was completed.

We also want to know: how do you know what's happening?

What can you actually see inside the business?

  • Leads
  • Conversion
  • Follow-up
  • Pipeline
  • Applications
  • Settlements
  • Turnaround
  • Outstanding tasks
  • Client activity
  • Referrals
  • Retention
  • Revenue
  • Clawbacks

Can you see where things are sitting?

Can you see what needs attention?

Can you see what has been completed?

Can you see where opportunities are being lost?

And can the people running the business get that information without having to chase it down manually?

And what happens after settlement?

The workflow doesn't necessarily end when the deal settles.

How are annual reviews managed?

How are referral opportunities captured?

How are existing clients followed up?

What prevents clients from disappearing?

What identifies potential clawback risk?

Because growth isn't just about getting the next lead.

It's also about looking after the business you've already built.

Make Growth Feel Automated

We live in the world of Workflow Optimisation and have been designing and building CRMs and automations for Mortgage, Asset and Commercial Finance Brokers for the last 6+ years.

Our goal is to help brokers understand how their business operates, where technology can help, and where people still need to be involved — so they can continue to grow.

The broker industry operates within a complicated environment.

Governments, aggregators, lenders and private lending systems are constantly changing. To keep up to date with those requirements your Aggregator, MFAA, FBAA and other online publications help you navigate those requirements.

BrokerTools sits in the space between people, process and technology.

We talk to the specialists who coach, implement and support brokers with the systems, services and automated workflows they need to operate their businesses.

Tech Support for how your business works

Not to be confused with IT Support, Broker Tools is a Software and Service Integrations support partner.

If you need a Cybersecurity plan or laptop management system for your Virtual Assistant (VA), speak with your IT team.

We provide support for workflow optimisation, that is the handover between people, process and technology.

We help brokers work out:

  • What needs to happen
  • Who needs to do it
  • What technology is already available and if a CRM is required

Then we assess:

  • What can be automated
  • Where information can be sync'd over to another platform
  • Notifications for human approval or review

BrokerTools is here for the technology and workflow layer.

That includes:

  • Marketing workflows
  • AI agents
  • CRM design
  • Client onboarding systems
  • Follow-up automations
  • Data flows
  • System integrations
  • Process mapping
  • Workflow optimisation

The goal is to make sure growth feels automated.

When we look at a broker business, we always start with how you're currently running it — and then ask:

  • Could this workflow better?
  • Can this be integrated?
  • What needs be automated?
  • Does a person actually need to do this?
  • And if they do, are we giving them the right information at the right time?

We're Building a Map

We're building a map of what happens inside a broker business — from lead capture through to settlement and ongoing business growth.

And we're looking at what happens between People, Process and Technology along the way.

How does your aggregator impact the software or processes you can choose?

What do they already offer or supply, so you don't need to buy another product or service?

Where does information move?

Where does it stop?

Where are the handovers?

Where could something be simplified, integrated or automated?

Because decision fatigue is real — and software support is usually a blank canvas.

What we're building at BrokerTools is a choose-your-own-adventure for broker technology, based on how your business actually operates and where you want to go next.

What works for one broker doesn't necessarily work for another.

The right system, process or automation depends on the business, the people operating it, the technology already in place and the way that person wants to see, understand and conquer their day.

That's why we don't believe there is one perfect tech stack for every broker.

We're building the map to help you find the path that makes sense for you.

How BrokerTools Makes Money

BrokerTools is not a “pay-to-play” advertising model.

We don't sell better rankings, favourable reviews or preferential placement.

Revenue may come from partnerships, referrals, affiliate arrangements, paid projects, services and other commercial relationships.

If a commercial relationship is relevant to something we're presenting, we'll disclose it.

Our aim is to help brokers make better-informed decisions about the people, processes and technology supporting their businesses.
